Triggered Campaign

Campaign that speaks to your audience at the occurrence of a particular event.

In a triggered campaign, messages are automatically sent based on specific user actions or predefined events. Instead of sending messages to all users at the same time, a triggered campaign responds to individual user behavior's or events, triggering the delivery of targeted and personalized content.

Use Case

Imagine a user was added to Hubspot. He/she receives an automatic Welcome message, offering a discount on the first purchase.

This message was triggered by the action of user being created in Hubspot. (Event)

That's a triggered campaign – a message sent responding to a specific action.

Before we start with the steps to create a trigger campaign; two notable points are:

  1. You need to have a pre-defined user action, i.e. a event upon occurrence of which the campaign gets triggered. In case you don't, create a event here.

Chatman offers a set of pre-defined events while allowing you to create you own custom event.

Different Type of Events

Custom Events: Triggers the campaign when a customer completes a specified event.

Shopify Events:

  • shopify_customer_updated: Triggers campaign when customer information is updated in the Shopify platform.

  • shopify_customer_deleted: Triggers campaign when a customer is deleted from the Shopify database.

  • shopify_customer_created: Triggers campaign upon the creation of a new customer in Shopify.

  • shopify_abandoned_checkout_created: Triggers campaign when a checkout process is started but not completed by the customer.

  • shopify_order_fulfilled: Triggers campaign when an order is successfully fulfilled.

  • shopify_order_cancelled: Triggers campaign when an order is canceled.

  • shopify_order_updated: Triggers campaign upon any updates or modifications to an existing order.

  • shopify_order_created: Triggers campaign when a new order is created in Shopify.

Zoho Events:

  • zoho_customer_created: Triggers campaign when a new customer is created in the Zoho CRM system. This event is specific to customer creation in Zoho.

HubSpot Events:

  • hubspot_customer_created: Triggers campaign when a new customer is created in HubSpot. This event focuses on the creation of customer records within the HubSpot platform.

  1. An approved template tailored to your targeted audience and the campaign goal. If you don't have, create a template here.

If you have a template and it is not approved, you will not find it while selecting templates in the below procedure.

Create a Triggered Campaign

Suppose you're into e-commerce business and want to automatically sent welcome message that offer 20% discount instantly to all the customer created in Hubspot.

Click here create a new contact in Hubspot.

How do you that?

  1. Create Campaign

  • Start by giving a relevant name to your campaign. This helps in identifying and tracking different campaigns easily.

We can name our campaign as New Hubspot User, based on the scenario above.

  1. Select Triggered Campaign

  • Choose the type of campaign as "Triggered Campaign." This implies that the campaign will be send on the occurrence of a event.

  1. Choose 'Event' To Trigger

  • From the 'upon occurrence of' drop-down menu; select an event on occurrence which you want the campaign to get started automatically with the customer.

Custom Events: Triggers the campaign when a customer completes a specified event.

  • hubspot_customer_created: Triggers campaign when a new customer is created in HubSpot. This event focuses on the creation of customer records within the HubSpot platform.

As per the scenario, we want the campaign to trigger when a new contact is created in Hubspot. Therefore we select event as hubspot_customer_created.

  1. Delivery Time:

  • Decide when to deliver your campaign. It has two options immediately and wait and then send.

Immediately

Choose immediately when you want to start the campaign as soon as you launch it.

Wait and then send

If you choose Wait, select the delay time after contact creation when the campaign is to be sent. You can select minutes, hours and days while simultaneously entering the value in the box.

Timezone: Select whether to deliver the message in the user's time zone or the project's time zone.

  • User's Time Zone: The campaign gets launched as per the user's time zone. Say you have a customer from the USA, you have set the campaign launch date and time as 12:00 pm, 03.02.24 . So, the customer will receive the campaign when in the USA the time reaches as specified and not as per your location.

  • Project's Time Zone: The campaign launch date and time will depend on your location.

End Campaign: Select the date and time when the campaign is to be ended.

In above specified scenario we want the campaign to get launched instantly as a customer is added to the hubspot, so we select Immediately.

  1. Choose Message Template

  • Select the message template that your recipients will receive. Choose from a dropdown list of pre-made templates.

Set Attributes

Set attributes that will replace the dynamic field {{ }} available in your header or body of the template. For, e.g., for personalization, you can replace it with the customer's first name, for the same select user attribute>first name.

Here is what all the attributes means:

The Set attribute option is available only when the selected template has dynamic variables in it.

We created a template called 'welcome_hubspot_customer,' so we select it and set the attributes as first name for both the header and body.

  1. Post Campaign Trigger (Optional):

  • Optionally, set up post-campaign triggers to update attributes, manage segments, and implement a "Do Not Disturb" (DND) policy based on the selected event. Use conditional logic based on events such as sent, delivered, read, failed, or replied.

Different Event Condition
  1. Notification Send

  • Sent: Trigger the action when the notification is sent to the user.

  • Delivered: Trigger the action when the notification is successfully delivered to the user's device.

  • Read: Trigger the action when the user has read the notification.

  • Failed: Trigger the action when the delivery of the notification fails.

  1. Notification Replied

  • Button Reply: Trigger the action when the user replies using predefined buttons (buttons in template are entered as value).

  • Text Reply: Trigger the action when the user replies with free-text input.

Post Campaign Trigger

Let's say we want to assign tag 'discount enthusiast' to all the customers who tap 'Grab Code' button in the template.

So we select Notification reply>Button reply and enter the value as Grab Code.

You can add maximum two filter, one from each notification send and notification reply.

You can add multiple 'Post campaign trigger' by clicking 'add another event' and repeating the steps to create the 'post campaign trigger.'

  1. WhatsApp Optin

  • Choose to send the campaign only to customers whose "WhatsApp Opted" status is true. This is a recommended practice. Toggle it on.

  1. Campaign Summary

  • A summary of your campaign details will be displayed on the right-hand side, including the campaign name, type, schedule, chosen audience, and selected template.

  1. Launch

  • Review the campaign details and click on "Launch campaign" to launch the triggered campaign.
